Privacy should be one of your first considerations. Even when the notarization itself is straightforward, your paperwork may contain personal, financial, medical, property, or other sensitive information.

Look for a quiet corner, spacious booth, library meeting area, or table that's separated from other customers. Avoid locations where strangers will be sitting close enough to easily see your paperwork or overhear your conversation.

For particularly sensitive documents, meeting at your home, office, attorney's office, or another private location may be preferable to meeting in public.

2. Make Sure There's a Comfortable Table and Chairs

A tiny café table may work perfectly for a single document, but it can quickly become frustrating when there are multiple pages or signers.

Remember that we need room not only for your documents, but also for identification, the notary journal, notarial supplies, and everyone's hands while signing.

Choose a clean, stable table with comfortable seating and enough room to spread out your documents without losing track of pages.

A convenient meeting place should be easy for everyone to access.

Before choosing a location, consider parking availability, walking distance, stairs, elevators, wheelchair accessibility, and proximity to major roads.

Libraries, community spaces and hotel lobbies can sometimes be excellent choices because they're designed to accommodate a wide range of visitors.

4. Check the Hours Before Your Appointment

Mobile notaries frequently accommodate appointments outside traditional business hours—but your meeting location may not.

Before scheduling an evening or weekend appointment, double-check when the location closes.

Allow some extra time, too. Some notarizations take only a few minutes, while others take considerably longer. The last thing you want is to feel rushed through an important signing because the café is stacking its chairs around you.

5. Look for Good Lighting

Good lighting is more important than you might think.

Your documents need to be clearly visible while you're signing, and your notary must be able to properly examine your identification and complete the required notarial paperwork.

A well-lit library, café, hotel lobby, or professional common area generally works much better than a dim restaurant or poorly lit outdoor area after sunset.

Busy restaurants, crowded shopping centers, loud music, heavy pedestrian traffic and other distractions can make a signing unnecessarily difficult.

A quieter café, library, hotel lobby, coworking space, or professional building may provide a much better environment.

8. Make Sure There's Enough Room for Everyone

Consider who needs to attend the appointment before choosing the location.

A two-person café table might be perfectly adequate for one signer and a notary. It probably won't be ideal if several people need to participate.

If you're coordinating a larger signing, look for a larger table, meeting room, conference area, or another space where everyone can sit comfortably.

9. Consider Cell Service, Wi-Fi and Power

These aren't necessary for every notarization, but reliable cell service can be helpful if someone needs to contact an attorney, family member, escrow officer, or other party during the appointment.

For business or real estate appointments involving laptops or electronic communications, access to Wi-Fi or a power outlet may also be convenient.
